HarrowQuest is a U.S.-based Business Process Outsourcing (BPO) company. We secure service contracts from U.S. businesses and fulfill them using rigorously vetted, English-proficient professionals hired across Africa.
Simply put: you need back-office support, medical billing, IT help desk, virtual assistants, or any of our 15+ service categories — we provide the trained professionals to handle it at 50–70% less than the cost of equivalent U.S. hires. You contract with a U.S. company, under U.S. law, with U.S.-managed quality control.
Yes. HarrowQuest is a fully U.S.-registered business headquartered in Salt Lake City, Utah. All client contracts are governed by U.S. law. You are engaging a U.S. entity — not a foreign company.
The professionals who fulfill your work are based in Africa, but the management layer, the contracts, the quality control, and your legal relationship are entirely on the U.S. side. You never interact with a foreign entity or navigate foreign law.
Several important differences:
HarrowQuest serves a wide range of industries. Our most common client types include:
If your business has roles that can be performed remotely on a computer — we can staff them.
HarrowQuest was built specifically for small to mid-size U.S. businesses — the companies that need professional support the most but are priced out of enterprise BPO options.
Our sweet spot is businesses with 1–200 employees who need part-time or full-time support staff but cannot justify the cost of hiring locally. Solo practitioners, small medical practices, growing startups, and regional law firms are exactly who we serve.
That said, we also work with larger organizations that need to scale specific functions quickly without adding U.S. headcount.
One role is perfectly fine. Many of our clients start with a single virtual assistant or one medical billing specialist and scale from there. There is no minimum number of hires required to work with us.
Starting with one role is actually a smart approach — it lets you evaluate the quality and fit before expanding, and gives you a low-risk entry point into outsourcing.
No — and this is one of our key differentiators. HarrowQuest operates as a managed service, not a staffing agency. We handle day-to-day supervision, time tracking, performance reviews, and quality control on our end.
You communicate your requirements and expectations directly with your assigned team member, and we handle everything behind the scenes to ensure those expectations are met. You get the output — not the management overhead.
All HarrowQuest professionals are proficient in English — this is a non-negotiable requirement of our vetting process. Our five core sourcing markets (Kenya, Nigeria, Ghana, South Africa, and Rwanda) all have strong English-speaking professional traditions.
For client-facing roles, we assess written and spoken English during the screening process. Many of our professionals speak multiple languages — French, Swahili, Hausa, Zulu — but English is always the working language for client engagement.
Tier 1 IT Support is the first line of response — the person your team contacts when something isn't working. It covers:
Tier 2 IT Support handles escalations that Tier 1 can't resolve. It covers:
Our IT staff are trained on the most common platforms. For ticket management, we work within whichever system your business already uses — including Freshdesk, Zendesk, Jira Service Management, HubSpot Service Hub, Zoho Desk, Kayako, and others.
Our virtual assistants handle the administrative and operational tasks that consume your day without requiring you to be physically present. Common tasks include:
We match each VA's skill set to your specific needs during the onboarding process.
Our medical billing specialists are trained in ICD-10 and CPT coding standards, and can work across most major practice management platforms including:
If your practice uses a platform not listed here, let us know during the discovery call. We assess compatibility on a case-by-case basis and can train specialists on platforms with accessible documentation.
Both options are available. We offer:
Most clients who start part-time expand to full-time within 60–90 days once they experience the value. We recommend starting at whatever level your current workload justifies — scaling up is easy.
Yes — we schedule our African professionals to work hours compatible with your U.S. business hours. Time zone alignment is part of how we match talent to clients.
During onboarding, we confirm your required working hours and match you with professionals whose schedules align. For roles requiring real-time communication, we prioritize candidates comfortable working your specific time zone window.
During the onboarding process, HarrowQuest presents you with a shortlist of pre-vetted candidates that match your requirements. You have the opportunity to review profiles, conduct a brief introductory call, and select who you'd like to work with.
We don't randomly assign professionals to clients. The match is intentional — based on your industry, role requirements, time zone, and working style. Your satisfaction with the selection is part of the process, not an afterthought.
Our professionals are trained on the most widely used U.S. business tools. Depending on the role, they typically work within:
We integrate into your existing tech stack — we don't ask you to change your tools to accommodate us.
India and the Philippines have been dominant outsourcing markets for decades — which means they are now highly competitive, increasingly expensive, and saturated. Talent acquisition in those markets is more difficult and costly than it was 10 years ago.
Africa represents a significant opportunity:
Companies like Andela have proven this model at scale with enterprise tech clients. HarrowQuest brings the same principle to small and mid-size U.S. businesses across all service categories.
Connectivity has improved dramatically across our core markets over the past decade. Nairobi, Lagos, Accra, Cape Town, and Kigali — our primary sourcing cities — all have robust broadband infrastructure with multiple ISP options and growing fiber coverage.
As part of our vetting process, we verify that every professional has:
We do not place professionals in areas where connectivity is unreliable. If connectivity issues arise post-placement, we address them immediately as part of our managed service responsibility.
Yes — and this is something that consistently surprises new clients. Professionals in Nigeria, Kenya, Ghana, and South Africa are deeply familiar with U.S. business culture through education, media, and existing exposure to American companies and processes.
HarrowQuest also provides onboarding training specifically focused on U.S. workplace expectations — email etiquette, communication standards, response time expectations, documentation habits, and professional norms. By the time a professional starts with a client, they are aligned with how American businesses operate.
No. Kenya, Nigeria, Ghana, South Africa, and Rwanda are our Core Five — the markets where our talent pipeline is deepest and our vetting infrastructure is most established. They are a starting point, not a ceiling.
Africa has 54 countries and an enormous professional talent base. As client needs expand into new specializations or regions, HarrowQuest expands with them. Egypt, Ethiopia, Tanzania, Senegal, Morocco, and Côte d'Ivoire are already on our expansion radar. If you have a specific need that benefits from sourcing in a different African market, let us know during your discovery call.
Yes — and this matters to us as a company. HarrowQuest pays our African professionals at rates that are competitive and genuinely above-average within their local markets. The cost savings for U.S. clients come from the difference in cost of living between markets — not from paying African professionals below their worth.
We believe that sustainable outsourcing requires fair compensation on both sides. Professionals who are paid fairly, treated with respect, and given meaningful work stay longer, perform better, and represent your business well. Exploitative arrangements are bad for everyone involved and are not how we operate.
Yes. HarrowQuest maintains full HIPAA compliance infrastructure for all healthcare-related engagements. This includes:
Before any medical billing or healthcare admin professional begins client work, HIPAA training is completed and verified. We treat compliance as a non-negotiable baseline, not an optional add-on.
Data security is built into our operations at every level:
Our contractor agreements include explicit data security obligations with teeth — breach of confidentiality provisions are treated as cause for immediate termination.
You sign a Master Service Agreement (MSA) directly with HarrowQuest — a U.S. company. All contracts are governed by U.S. law. Depending on your service type, we also execute:
You never sign contracts with African individuals or foreign entities. Your legal relationship is entirely with HarrowQuest as the U.S. contracting party. We handle all agreements with the African professionals on our end.
Yes. Background verification is part of our standard vetting process. This includes identity verification, employment history confirmation, and reference checks. For roles involving financial data, legal documents, or patient health information, we apply a more rigorous screening protocol.
For clients in regulated industries (healthcare, legal, finance), we can discuss additional verification requirements during the onboarding process.
HarrowQuest's African professionals are structured as independent contractors. Under this arrangement:
We recommend consulting your CPA regarding how payments to HarrowQuest are categorized on your own business taxes — they are typically deductible as a business service expense.
Our incident response protocol follows these steps:
HarrowQuest carries Cyber Liability insurance which provides an additional financial backstop in the event of a covered incident. Your MSA includes specific provisions addressing liability in security-related scenarios.
Our process from initial contact to first working day typically runs 2–4 weeks:
For standard virtual assistant and back-office roles, the timeline can be as short as 1–2 weeks. Specialized roles like medical billing may take 2–4 weeks to ensure proper vetting and compliance setup.
We guide you through preparation, but typically you'll need to:
We provide an onboarding checklist to make this easy. The more preparation you do upfront, the faster your new team member reaches full productivity. Most clients are surprised by how quickly the integration happens.
Yes. We offer a pilot program for new clients — typically 30 to 60 days — before any longer-term commitment is required. This gives you the opportunity to evaluate quality, fit, and communication before deciding to scale or extend.
The pilot is structured with clear KPIs and a mid-point check-in so you have objective data to evaluate the engagement. At the end of the pilot, you decide whether to continue, adjust scope, or exit — no pressure either way.
We handle it. If a professional isn't meeting your expectations, you tell us and we act immediately. Depending on the situation:
You are not locked into a specific individual. Our commitment is to the outcome — not to protecting a particular placement. Client satisfaction is how we measure success.
Through whichever communication tools you already use. We integrate into your existing workflow — we don't add new platforms or force you to change how you work.
Most clients use Slack for daily communication, Zoom or Google Meet for weekly check-ins, and their existing project management tool (Asana, ClickUp, Monday, etc.) for task assignments. Your HarrowQuest team member joins your existing workspace as a dedicated team member, not an outsider.
HarrowQuest also conducts a monthly check-in with you separately to ensure the engagement is tracking well from both sides.
All HarrowQuest professionals use a designated time-tracking platform — typically Hubstaff or Time Doctor — which runs during all working hours. These platforms:
You receive a weekly time report with every invoice. You can also log into the tracking platform yourself to view activity in real time if you prefer. Transparency around hours is non-negotiable — hours not logged in the tracking system are not billed.
Pricing depends on the service category, level of specialization, and whether you need part-time or full-time support. Generally speaking, HarrowQuest delivers 50–70% cost savings compared to equivalent U.S. hires.
To give you an accurate quote, we need to understand your specific requirements — role type, hours needed, any compliance or specialization requirements, and your timeline. Book a free discovery call and we will provide a clear, detailed proposal with no obligation.
No long-term commitment is required to start. New clients begin with a pilot program (30–60 days) before any longer-term agreement is discussed. After the pilot, you choose whether to continue month-to-month or move to a longer arrangement.
We do not believe in locking clients into contracts as a substitute for delivering value. If HarrowQuest is working for your business, you'll want to continue. If it isn't, you should be free to exit.
HarrowQuest invoices on a bi-weekly or monthly basis depending on your preference and the engagement structure. Each invoice includes:
Payment is due within 10 business days of invoice receipt. We accept ACH bank transfer, wire transfer, and major credit cards. All invoices are in U.S. dollars.
No hidden fees. Your proposal will clearly outline all costs before you sign anything. The only cost you pay is the agreed service fee — there are no onboarding fees, placement fees, or surprise charges.
If there are any one-time costs associated with your specific engagement (specialized training, specific software licensing), we disclose these upfront in the proposal. Nothing appears on an invoice that wasn't agreed to in advance.
Yes — flexibility is one of the primary advantages of the HarrowQuest model. You can:
This flexibility is something you cannot get with a full-time U.S. employee. Scaling a traditional hire up or down involves layoffs, severance, and recruitment costs. With HarrowQuest, you adjust with a conversation.
Quality control is built into every layer of our operation:
Every professional goes through HarrowQuest's onboarding curriculum before being placed with any client. This includes:
For specialized roles, we also reference industry certifications and standards (AAPC for medical billing, CompTIA for IT) and encourage ongoing professional development. We are building a training platform to formalize this further — including HarrowQuest certification for each service category.
Tell us immediately. We operate a managed service — meaning quality issues are our problem to solve, not yours to tolerate.
When you raise a quality concern:
If a systemic quality issue cannot be resolved to your satisfaction, we will discuss appropriate remedies including credits or scope adjustments. Our reputation depends on getting this right.
Two channels are available:
We recommend a brief weekly feedback exchange in the first month — even just a few sentences of "what went well, what needs adjustment." It accelerates the learning curve and sets a clear standard from day one.
If a placed professional leaves, underperforms to a degree that cannot be corrected, or is no longer a fit for any reason, HarrowQuest will source and onboard a replacement at no additional placement fee.
During the transition period, we work to minimize disruption — providing overlap time where possible, ensuring knowledge transfer, and fast-tracking the replacement search. Our goal is that any gap in coverage is measured in days, not weeks.
This guarantee applies for the duration of your active engagement with HarrowQuest.
