Is HarrowQuest a U.S. company?

Yes. HarrowQuest is a fully U.S.-registered business headquartered in Salt Lake City, Utah. All client contracts are governed by U.S. law. You are engaging a U.S. entity — not a foreign company.

The professionals who fulfill your work are based in Africa, but the management layer, the contracts, the quality control, and your legal relationship are entirely on the U.S. side. You never interact with a foreign entity or navigate foreign law.

How is HarrowQuest different from hiring a freelancer on Upwork or Fiverr?

Can I use HarrowQuest for just one role, or do I need multiple?

One role is perfectly fine. Many of our clients start with a single virtual assistant or one medical billing specialist and scale from there. There is no minimum number of hires required to work with us.

Do I have to manage the African staff myself?

No — and this is one of our key differentiators. HarrowQuest operates as a managed service, not a staffing agency. We handle day-to-day supervision, time tracking, performance reviews, and quality control on our end.

You communicate your requirements and expectations directly with your assigned team member, and we handle everything behind the scenes to ensure those expectations are met. You get the output — not the management overhead.

What languages do your professionals speak?

All HarrowQuest professionals are proficient in English — this is a non-negotiable requirement of our vetting process. Our five core sourcing markets (Kenya, Nigeria, Ghana, South Africa, and Rwanda) all have strong English-speaking professional traditions.

For client-facing roles, we assess written and spoken English during the screening process. Many of our professionals speak multiple languages — French, Swahili, Hausa, Zulu — but English is always the working language for client engagement.

Do your professionals work during my business hours?

Yes — we schedule our African professionals to work hours compatible with your U.S. business hours. Time zone alignment is part of how we match talent to clients.

During the onboarding process, HarrowQuest presents you with a shortlist of pre-vetted candidates that match your requirements. You have the opportunity to review profiles, conduct a brief introductory call, and select who you'd like to work with.

We don't randomly assign professionals to clients. The match is intentional — based on your industry, role requirements, time zone, and working style. Your satisfaction with the selection is part of the process, not an afterthought.

As part of our vetting process, we verify that every professional has:

Are the African professionals paid fairly?

Yes — and this matters to us as a company. HarrowQuest pays our African professionals at rates that are competitive and genuinely above-average within their local markets. The cost savings for U.S. clients come from the difference in cost of living between markets — not from paying African professionals below their worth.

We believe that sustainable outsourcing requires fair compensation on both sides. Professionals who are paid fairly, treated with respect, and given meaningful work stay longer, perform better, and represent your business well. Yes. HarrowQuest maintains full HIPAA compliance infrastructure for all healthcare-related engagements. This includes:

What contracts do I sign, and what law governs them?

You sign a Master Service Agreement (MSA) directly with HarrowQuest — a U.S. company. All contracts are governed by U.S. law. Depending on your service type, we also execute:

  • Business Associate Agreement (BAA) — for any healthcare or HIPAA-covered work
  • Non-Disclosure Agreement (NDA) — standard for all engagements
  • Service-specific addenda outlining scope, deliverables, and performance standards

You never sign contracts with African individuals or foreign entities. Your legal relationship is entirely with HarrowQuest as the U.S. contracting party. We handle all agreements with the African professionals on our end.

Do your professionals undergo background checks?

Yes. Background verification is part of our standard vetting process. This includes identity verification, employment history confirmation, and reference checks. For roles involving financial data, legal documents, or patient health information, we apply a more rigorous screening protocol.

For clients in regulated industries (healthcare, legal, finance), we can discuss additional verification requirements during the onboarding process.

Are your African professionals employees or contractors? Who is responsible for their taxes?

HarrowQuest's African professionals are structured as independent contractors. Under this arrangement:

  • They are responsible for their own local taxes in their country of residence
  • HarrowQuest is not required to withhold U.S. taxes on payments to non-U.S. persons providing services outside the U.S.
  • Each professional signs a Form W-8BEN confirming their non-U.S. status for IRS purposes
  • HarrowQuest manages the contractor relationship — you have no direct payroll or tax obligation to the individual

We recommend consulting your CPA regarding how payments to HarrowQuest are categorized on your own business taxes — they are typically deductible as a business service expense.

What happens if there is a data breach or security incident?

Our incident response protocol follows these steps:

  • Immediate containment: The professional's access is suspended and systems are isolated
  • Client notification: You are notified within 24 hours of any suspected or confirmed incident
  • Investigation: We conduct an internal review to determine scope and cause
  • Regulatory notification: For HIPAA-covered incidents, we follow required breach notification timelines with you
  • Remediation: We implement corrective measures and provide a post-incident report

HarrowQuest carries Cyber Liability insurance which provides an additional financial backstop in the event of a covered incident. Your MSA includes specific provisions addressing liability in security-related scenarios.

Our process from initial contact to first working day typically runs 2–4 weeks:

What do I need to prepare before my team member starts?

We guide you through preparation, but typically you'll need to:

  • Create logins for the tools your team member will use (email, CRM, project management, etc.)
  • Prepare a brief onboarding document — key contacts, processes, and your expectations
  • Allocate time for a 60-minute kickoff call in the first week
  • Set up your time-tracking tool (we can assist with this)

We provide an onboarding checklist to make this easy. The more preparation you do upfront, the faster your new team member reaches full productivity. Most clients are surprised by how quickly the integration happens.

Is there a trial period or pilot program?

Yes. We offer a pilot program for new clients — typically 30 to 60 days — before any longer-term commitment is required. This gives you the opportunity to evaluate quality, fit, and communication before deciding to scale or extend.

The pilot is structured with clear KPIs and a mid-point check-in so you have objective data to evaluate the engagement. At the end of the pilot, you decide whether to continue, adjust scope, or exit — no pressure either way.

What happens if the assigned professional isn't the right fit?

We handle it. If a professional isn't meeting your expectations, you tell us and we act immediately. Depending on the situation:

  • If it's a performance issue, we address it directly with the professional and implement a corrective plan
  • If the fit isn't right despite good performance — personality, communication style, or skill mismatch — we find a replacement
  • Replacement timelines are typically 1–2 weeks for standard roles

You are not locked into a specific individual. Our commitment is to the outcome — not to protecting a particular placement. Client satisfaction is how we measure success.

How do I communicate with my HarrowQuest team member day to day?

Through whichever communication tools you already use. We integrate into your existing workflow — we don't add new platforms or force you to change how you work.

Most clients use Slack for daily communication, Zoom or Google Meet for weekly check-ins, and their existing project management tool (Asana, ClickUp, Monday, etc.) for task assignments. Your HarrowQuest team member joins your existing workspace as a dedicated team member, not an outsider.

HarrowQuest also conducts a monthly check-in with you separately to ensure the engagement is tracking well from both sides.

How is time tracked and how do I know work is actually being done?

All HarrowQuest professionals use a designated time-tracking platform — typically Hubstaff or Time Doctor — which runs during all working hours. These platforms:

  • Log hours in real time with timestamps
  • Take periodic screenshots at intervals you can configure
  • Track application usage and activity levels
  • Generate weekly reports you can review at any time

You receive a weekly time report with every invoice. You can also log into the tracking platform yourself to view activity in real time if you prefer. Transparency around hours is non-negotiable — hours not logged in the tracking system are not billed.

Is there a long-term contract requirement?

No long-term commitment is required to start. New clients begin with a pilot program (30–60 days) before any longer-term agreement is discussed. After the pilot, you choose whether to continue month-to-month or move to a longer arrangement.

We do not believe in locking clients into contracts as a substitute for delivering value. If HarrowQuest is working for your business, you'll want to continue. If it isn't, you should be free to exit.

How does billing work? When do I pay?

HarrowQuest invoices on a bi-weekly or monthly basis depending on your preference and the engagement structure. Each invoice includes:

  • Total hours worked (with time-tracking report attached)
  • Breakdown by professional and task category
  • Any adjustments or credits

Payment is due within 10 business days of invoice receipt. We accept ACH bank transfer, wire transfer, and major credit cards. All invoices are in U.S. dollars.

Are there any setup fees or hidden costs?

No hidden fees. Your proposal will clearly outline all costs before you sign anything. The only cost you pay is the agreed service fee — there are no onboarding fees, placement fees, or surprise charges.

If there are any one-time costs associated with your specific engagement (specialized training, specific software licensing), we disclose these upfront in the proposal. Nothing appears on an invoice that wasn't agreed to in advance.

Can I scale up or down as my business needs change?

Yes — flexibility is one of the primary advantages of the HarrowQuest model. You can:

  • Scale up: Add more professionals or increase hours with reasonable notice (typically 2 weeks)
  • Scale down: Reduce hours or pause an engagement with notice per your contract terms
  • Add service categories: Start with virtual assistants and add medical billing later
  • Seasonal adjustments: Many clients adjust staffing levels for busy seasons (tax season, open enrollment, etc.)

This flexibility is something you cannot get with a full-time U.S. employee. Scaling a traditional hire up or down involves layoffs, severance, and recruitment costs. With HarrowQuest, you adjust with a conversation.

What training do your professionals receive before starting?

Every professional goes through HarrowQuest's onboarding curriculum before being placed with any client. This includes:

  • U.S. business communication standards — email etiquette, professional tone, response time expectations
  • Data security and confidentiality requirements
  • Role-specific training (HIPAA for medical billing, IT troubleshooting frameworks for IT support, etc.)
  • Time tracking and reporting procedures
  • Client communication protocols

For specialized roles, we also reference industry certifications and standards (AAPC for medical billing, CompTIA for IT) and encourage ongoing professional development. We are building a training platform to formalize this further — including HarrowQuest certification for each service category.

What if the quality of work doesn't meet my expectations?

Tell us immediately. We operate a managed service — meaning quality issues are our problem to solve, not yours to tolerate.

When you raise a quality concern:

  • We acknowledge it within one business day
  • We investigate and provide you with an assessment within 3 business days
  • We implement a corrective action — additional training, supervision, process change, or replacement
  • We follow up to confirm the issue is resolved

If a systemic quality issue cannot be resolved to your satisfaction, we will discuss appropriate remedies including credits or scope adjustments. Our reputation depends on getting this right.

How do I give feedback to my team member?

Two channels are available:

  • Directly: You communicate directly with your assigned professional through Slack, email, or whichever tool you use. Real-time feedback during the workday is encouraged and normal.
  • Through HarrowQuest: For performance issues, formal feedback, or anything you'd prefer to handle through us, your HarrowQuest account contact is always available. We can deliver feedback on your behalf and manage the conversation professionally.

We recommend a brief weekly feedback exchange in the first month — even just a few sentences of "what went well, what needs adjustment." It accelerates the learning curve and sets a clear standard from day one.

What is your professional replacement guarantee?

If a placed professional leaves, underperforms to a degree that cannot be corrected, or is no longer a fit for any reason, HarrowQuest will source and onboard a replacement at no additional placement fee.

During the transition period, we work to minimize disruption — providing overlap time where possible, ensuring knowledge transfer, and fast-tracking the replacement search. Our goal is that any gap in coverage is measured in days, not weeks.

This guarantee applies for the duration of your active engagement with HarrowQuest.
